Implied Consent: When you seek treatment from us, we may rely on implied consent to share information within your “Circle of Care” (e.g., with your family doctor or a specialist).

Express Consent: We will obtain your explicit verbal or written consent before disclosing your information to third parties outside of your care (e.g., lawyers or employers).

Withdrawal: You may withdraw your consent at any time with reasonable notice, subject to legal or contractual restrictions.

5. Disclosure of Information

Your information is kept confidential. It will only be disclosed:

To other providers involved in your treatment.

When required by law (e.g., reporting a risk of imminent harm, child protection concerns, or under a court order).

6. Storage and Security

We take reasonable steps to protect your information from unauthorized access, collection, use, disclosure, or disposal.

Security: We use encrypted electronic medical records (EMR) and secure physical filing systems.

Location: While PIPA allows for data storage outside of Canada (unlike FIPPA for public bodies), we prioritize providers that maintain high security standards and notify you if data resides outside the country.

7. Retention and Destruction

We retain clinical records as required by BC law and professional regulatory bodies (typically 16 years from the date of the last entry or 16 years after a minor reaches age 19). Once no longer required, records are destroyed or de-identified securely.

8. Your Rights: Access and Correction

You have the right to access your personal information and request a correction if you believe it is inaccurate.

Access: Written requests for records will be processed within 30 days. A minimal fee may apply for photocopying or administrative costs.

Correction: If an error is identified, we will correct the information or, if we disagree, we will note the requested change on the file.

If you have questions or concerns about how your information is handled, please contact our Privacy Officer. If we are unable to resolve your concern, you may contact the Office of the Information and Privacy Commissioner for British Columbia (OIPC).
